Bates Electric, Inc. (in Florida, S.E. Bates Electric) ("Bates Electric," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect when you sign up for or use our Generator Care maintenance program, how we use it, and the choices you have.

1. Information We Collect

When you sign up at generator.bates-electric.com or interact with our Generator Care program, we collect:

• Contact information: name, email address, phone number, service address
• Generator information: generator size (kW), model, year installed, transfer switch type, any service notes you provide
• Payment information: credit or debit card details are collected and processed directly by Stripe, Inc., our payment processor. Bates Electric does not see, store, or have access to your full card number. We retain only Stripe customer and subscription identifiers necessary to bill your subscription, plus the last four digits and brand of your card for reference.
• Service history: dates of scheduled and completed visits, services performed, add-on charges, technician notes
• Communications: emails, text messages, and phone calls between you and our office

2. How We Use Your Information

We use your information to:

• Provide and bill the Generator Care subscription you signed up for
• Schedule and dispatch technicians to your service address
• Send you transactional emails (welcome, payment confirmations, upcoming-visit reminders, payment-failure notices, receipts)
• Charge for parts or labor performed outside the subscription scope (e.g., battery replacement, transfer switch inspection) when you have authorized such charges
• Respond to your inquiries
• Maintain accurate accounting and tax records

We do not sell your personal information, and we do not share it with advertisers or marketers.

3. Service Providers

We share information only with the service providers we need to operate the program:

• Stripe, Inc. — payment processing and card storage. Stripe's privacy policy is at https://stripe.com/privacy.
• Brevo (Sendinblue SAS) — transactional email delivery.
• Supabase — secure database hosting for customer and subscription records.
• Render — backend application hosting.
• Netlify — website and dashboard hosting.

These providers are contractually bound to use your information only to provide their service to us.

4. Communications

By signing up, you consent to receive transactional emails about your subscription (welcome, payment receipts, visit reminders, failure notices, card-update links). These are required to operate the program and you cannot opt out of them while your subscription is active. We do not send marketing emails as part of this program. To stop receiving any communications, cancel your subscription by contacting our office.

5. Data Retention

We retain customer, subscription, and transaction records for as long as your account is active and for at least seven (7) years after cancellation to satisfy tax, accounting, and warranty obligations. Card payment data is retained by Stripe per their terms; we do not store full card numbers ourselves.

6. Security

We use industry-standard safeguards: TLS/HTTPS for all data in transit, hashed authentication credentials, row-level security on our database, and PCI-DSS-compliant card processing through Stripe. No system is perfectly secure; if we ever discover a breach affecting your information, we will notify you as required by Missouri law.

7. Your Choices

You may:

• Request a copy of the personal information we hold about you
• Request corrections to inaccurate information
• Cancel your subscription at any time, after which we will retain only the records required for tax and accounting purposes

8. Children

Our service is not directed to children under 13 and we do not knowingly collect their information.

9. Changes

We may update this policy from time to time. The "Last updated" date at the top will reflect the most recent change. Material changes will also be emailed to active subscribers.
